How GP Education handles your information
Effective date: to be inserted on the LMS launch date
This notice explains how GP Education collects, uses, stores and shares personal information through its learning management system (LMS).
Information we collect
Depending on how you use the LMS, we may collect:
- your name, email address, contact details, professional category and relevant registration or accreditation details;
- account details and records of access to the LMS;
- course enrolments, progress, activity completion, quiz responses, results and assessment attempts;
- assignments and other files you submit, assessor feedback, completion records, certificates and education points;
- messages and support requests you send to us; and
- operational and security records such as timestamps, internal identifiers and audit events.
How we collect it
We collect information from you when your account is created, when you use the LMS, complete learning or submit an assessment, and when you contact us. An authorised administrator may also provide information when creating an account or assigning training.
Why we use it
We use personal information to:
- create and manage accounts and course access;
- deliver learning and record progress and assessment outcomes;
- issue and verify completion certificates and education points;
- send service, course and assessment notifications;
- provide support and maintain the security of the LMS; and
- meet applicable legal and record-keeping obligations.
Who can access or receive it
Learner assignments and assessor feedback are available only to the learner, authorised assessors and full administrators. We may also disclose relevant information to:
- service providers that support LMS hosting, identity, email, file storage, security and monitoring;
- an accreditation or registration organisation where this is required or you have authorised it; and
- a regulator or other party where required by law.
GP Education does not sell learner personal information.
Overseas processing
Some technology providers may process or store information outside Australia. GP Education will identify the providers and relevant locations in this notice before public launch, once the production services have been selected.
Storage, security and retention
GP Education uses access controls and other reasonable safeguards to protect information from misuse, loss and unauthorised access, modification or disclosure. Course completion, assessment and certificate records are retained for seven years after course completion. Other information is retained only for as long as it is needed for the purposes described above or required by law, then securely deleted or de-identified where appropriate.
Access, correction and complaints
You may ask to access or correct your personal information, or make a privacy complaint, by emailing info@gpeducation.online. We may need to confirm your identity before providing access or making a change. We will consider your request or investigate your complaint and respond within a reasonable time.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.
Cookies and updates
The LMS uses essential browser storage or cookies needed for sign-in, security and the operation of your session. We may update this notice when the LMS or our privacy practices change. The current version will remain available on the LMS.
